What is “Email Appending”?​

An email append is simply a process of adding (appending) an email address to a list of names and addresses. This list could be your customers or prospects and comprised of businesses or residential addresses. Your data is matched against a number of nationwide postal and email files. Hundreds of millions of records go into the match process. When we find a match, we’ll add the email to your file. We can append both business and residential files. We have it all.

The Append Process

1.) Getting Started​

To start the process, we’ll need a list of customer names. We have different levels of matching depending on your data. If it’s a residential list, we’ll at least need their postal address and preferably name. For business email matching, company name and address is preferred. We can work with most data formats. If you have questions on formatting, call us and we can walk you through the process. We know your privacy is important, so be assured that your information will always be protected within our secure “in-house” data center.

2.) Clean & Standardize

In order to provide the best match rate possible PMG will take your consumer database and perform the hygiene and standardize process. We will remove duplicate records and run your data through some standard postal address hygiene processes including the USPS CASS Certification. This allows for higher match rate and deliverability on the append process.

3.) Match & Append

Top notch data quality and multi-sourcing, our append and verify process sets us apart from our competitors. Providing both positive and negative identifications to our match logic we are able to identify the right individual with the right email address at either the individual or household level. For our business email appends we use a variety of algorithms and domain matches to assure the highest quality of match.

4.) Permission Pass Opt- In & Confirmation​

Once we have matched records, the email addresses are sent an opt-in permission message performed by PMG on your behalf to confirm deliverability and availability to market.

5.) Results from Permission Pass

All undeliverable hard-bounce and soft-bounce emails are omitted and opt-out responders are flagged.

6.) Final Standardize & Quality Check

The final file will be returned to you with the deliverable email addresses attached. We will also provide you with the suppression file of “opt-out” records for you to use in your future marketing programs.

7.) Delivery of Fresh New Marketing Emails

What types of files can be appended?

Most files can have email address appended to it. All we would need is name and address information. PMG can append emails to any customer file, business or consumer. ​

How does email appending work?

You give us your full customer database with as many variables as possible (such as contact name, address, phone, etc). We will then run multiple email passes to enhance your existing database. Something important to keep in mind is the more variables you have on your customer database, the more likely it is that you will see a higher match rate. We also have a Permission Pass service available. With this service we will send an email message that is branded with your company information. The goal of this email message is to give any customers an opportunity to opt-out or update their information on your database. This option is another way to further enhance the data.

With business email append, you can expect a match rate between 35% – 65% compared to the industry average of only 15%-25%. We can match on many variables including: business name, address, URL (which is a unique service to CAS), contact name, and phone
